Introduction:

We recognize the value of effective methods of communication and consultation in achieving a positive health and safety culture in our business, ensuring not only that up-to-date information is available when needed, but also that our workers are fully engaged in our health and safety management.

Our policy is to:

• Establish effective lines of communication internally and externally as needed.

• Engage and consult with employees on issues affecting their health and safety at work and consider their views on these matters. Communication and consultation take place through:

Ø     One-on-one conversations
Ø     Staff meetings
Ø     Notice boards
Ø     Internal newsletters
Ø     Health and safety committee meetings
Ø     Providing information on performance, lessons learned from incidents, plans, standards, procedures, systems, etc. Display the following:

  • “Health and Safety Law – What You Need to Know” poster

  • Our current Employer’s Liability Insurance Certificate

  • Our Health and Safety Policy Statement (see Health and Safety Policy Statement)


Training Policy

Introduction:

Training is a vital part of our strategy for effectively managing health and safety issues in our business. When implemented effectively, it can change our employees’ perception of risk and result in significant improvements in health and safety performance, prepare our employees to work safely and reduce accidents and damage to our buildings and equipment. It is also a general factor in motivating employees, so improvements often appear in overall commitment and work performance, and it ensures that employees are competent and confident when carrying out their work. It is our legal responsibility to provide appropriate training in the field of health and safety.

Our policy is to:

• Identify the health and safety training needs related to our work activities.
• Provide the following health and safety training to our staff:

Ø     Induction training for newcomers
Ø     Training on our health and safety policies and procedures
Ø     Job-related training including the use of any equipment
Ø     Training required under specific legislation
Ø     Fire and emergency procedure training including alarm activation
Ø     Training on identifying, handling, and using hazardous substances
Ø     Awareness training for management staff
Ø     Refresher training as identified in our training needs analysis
Ø     Keep records


Registration Policy

  1. Registration must be conducted by accredited registration staff at the Academy under the supervision and guidance of the Academy Director and the Head of the Administration Department.

  2. Teachers/instructors/professors must actively participate in the registration process, as they will determine the course capacity they will teach and schedule courses accordingly.

  3. Before registration, the individual will be referred to as an “applicant.” Upon registration, they are considered a “trainee” at the Academy.

  4. Registration for all courses must be completed at least one month before the course start date. The decision on registration start and end dates is subject to the approval of the Academy management.

  5. Registration forms must be submitted for all applicants/guardians. All required mandatory aspects in the form must be clearly specified and communicated to applicants for understanding and acknowledgment.

  6. Cooperation and assistance to applicants during the admission and registration process is mandatory for all relevant accredited staff.

  7. Once payment is received and the registration application is processed, the trainee is provided with a confirmation email or message.

  8. The applicant’s registration status should be changed to “unpaid” if the payment is not received seven days before the session start date. An email notification will be sent to the applicant upon removal of registration for non-payment.

  9. If the applicant or trainee requires special arrangements or has special needs, the issue should be clearly indicated on the registration form and discussed with the Head of the Administration Department or the authorized Academy personnel handling the case.

Postponement Policy:

The Academy reserves the right to postpone courses due to low registration rates. Trainees registered in a postponed course may transfer to another course or request a full refund. However, this is subject to the approval of the authorized Academy personnel handling the case.

  1. All results (data, personal information, etc.) collected during the “application and registration process” for successful applicants must be saved in the database and applicant files accordingly.

  2. Once confirmed as a trainee at the Academy, all trainees must have an identification card such as a “Trainee Card” displaying the general details of the trainee.

Registration Procedures:

  1. All application forms are received from applicants and a “registration” database is created.

  2. If the registration form is incomplete or lacks mandatory information, it will be returned to the applicant.

  3. Applications are categorized based on courses and a summary sheet for each training course is sent to the corresponding teacher/trainer/professor.

  4. The trainer/teacher/professor will provide a schedule showing the course title, total number of registrants, course timetable (start and end dates, covered content, etc.), and exam schedule. Each trainer/teacher/professor is responsible for managing the course schedule and discussing it in the staff meeting to ensure there is no overlap in sessions.

  5. Applicants are informed of the specific date and time, along with the necessary course information they need.


Incident Policy

Introduction:

An incident is an unplanned or uncontrolled event that may or may not result in personal injury or damage to equipment, buildings, or the environment. Incidents where no personal injury occurs may be referred to as accidents. We have adopted this policy and its related procedures to help us manage and monitor incidents and their causes. There are legal requirements imposed on us under the Reporting of Injuries, Diseases, and Dangerous Occurrences Regulations (see Incident Guidelines) which are referred to in this policy.

Our policy is to:

• Record all injuries in our incident logbook and guide employees on procedures to follow.
• Keep records of all incidents involving non-employees, ensuring their status is noted (e.g., trainee, visitor, contractor, etc.).
• Report all injuries and dangerous occurrences to the enforcement authority.
• Maintain records of all incidents, detailing those reported and how they were reported.
• Keep details of work-related ill health, including how this is reported to the enforcement authority where appropriate.
• Investigate all incidents, including “near misses”, to prevent recurrence.
• Ensure first aid is readily available.


Visitor Policy

Introduction:

As an employer and building occupant, we have a duty of care toward all visitors, including trainees, and we must consider their health and safety, especially as they may not be familiar with our buildings, activities, risks, and controls.

Our policy is to:

• Ensure the health, safety, and well-being of all visitors to our facilities, as far as is reasonably practicable.
• Control visitor access, including trainees, to ensure the health, safety, and security of our staff.
• Ensure visitors are aware of our rules and procedures.
• Accompany visitors where possible or warn them if unaccompanied of any hazardous or risk-prone areas.
• Escort or direct visitors to the fire assembly point in case of building evacuation.
• Record all visitor injuries in the incident logbook and conduct a thorough investigation (see Incident Report/Investigation Form).
• Inform visitors of our smoking policy.


Fire Safety Policy

Introduction:

We recognize that fire prevention is a significant responsibility for all organizations, including ours, and that fire can pose significant risks to our health and safety (see Fire Safety Guidelines).

Our policy is to:

• Assess fire risks in our facilities and implement appropriate control measures.
• Ensure good administrative measures to reduce the risk of fire.
• Provide means of fire detection and alarm systems.
• Inspect and/or test fire safety equipment at appropriate intervals.
• Provide and maintain safe means of escape from the workplace in the event of fire.
• Maintain all fire detection and firefighting equipment and installations.
• Implement procedures to follow in case of fire.
• Train and instruct staff in fire safety, including conducting fire drills.
• Keep records of all fire safety matters.
• Ensure all visitors are aware of fire precautions and emergency arrangements.
• Identify persons with any disabilities who may need assistance in case of fire.
